Questions about booth setup, lead retrieval, or co-marketing? This section covers what confirmed sponsors need to know. For information on becoming a sponsor, visit our Sponsor page or email events@masteringsap.com.
Exhibitor Portal access is distributed to confirmed sponsors as part of your onboarding. It contains all deadlines, booth specifications, shipping instructions, and vendor order forms. Contact your sponsorship account manager or email events@masteringsap.com if you have not received it by that time.
Standard booth inclusions are outlined in your sponsorship agreement. In general, we will build your booth as per the agreement including power and a logo sign. You are responsible for cost and design for panel graphics, furniture and AV requirements via our designated provider Exhibit Systems.
Details for bump in and bump out times are provided on the exhibitor portal. Note that as an event at the ICC, we also need to comply with the ICC health and safety requirements. They will be outlined in the exhibitor portal as well.
Integral to the event app, event sponsors can scan attendee badges using the app to capture contact information. Typically your team on staff passes have scanning access granted. Accessing those leads can be done from the app or via the exhibitor portal.
Yes, confirmed sponsors may use the official event logo and reference their sponsorship status through the end of the event. Logo usage must link to the official event website when used digitally. The event logo and branding may not be used in a way that implies product endorsement by SAPinsider. Approved logo files and usage guidelines will be provided in the onboarding. Please submit your own logo in vector format (.AI or .EPS) plus PNG at 300dpi by the deadline specified in the exhibitor portal.
Yes. Product demonstrations within your booth space are encouraged. If you expect large audiences, please plan for crowd management so as not to block aisles. Some booth activities - including drone demonstrations, cooking/live fire, or large machinery - require advance written approval. For dedicated sponsored demo theatre slots, contact your account manager as these are limited and allocated by sponsorship tier.
We provide power to your booth either one or two outlets depending on your tier. Additional power requirements can be ordered via Exhibit Systems. Convention-centre Wi-Fi is a shared resource and may not be reliable for bandwidth-intensive product demos - a dedicated wired connection or enhanced Wi-Fi can be ordered separately and is strongly recommended if your demo requires a stable connection.
Details for shipping and deliveries is provided on the exhibitor portal. Our team will walk through the process during onboarding.

Yes. Substitutions are free and available at any time. Email events@masteringsap.com with the new attendee's name, title, and email address.

SAPinsider is not responsible for non-refundable travel or accommodation costs incurred prior to such a change.
We understand this is a difficult situation. Please contact events@masteringsap.com as soon as possible with documentation of the visa denial and we will review your case individually. We recommend beginning visa applications at least 3 months before the event. For full guidance, visit the International Attendees page.
